We Have Procedures

 


Once in a while we need to write this gentle reminder that when an applicant writes in to request a subsidy, we always send our policies and request that the applicant reads it first so that there is a clear understanding on our procedures and requirements.

How to apply for a subsidy:

1. Email us at chankahyein@gmail.com with your full name, a jpeg photograph of your animal and a short write-up of the case and what help is required. 
2. Choose your own vet for the procedure, get it done, pay the vet and get an itemised receipt (procedures done to be stated clearly). Ensure that all items are legible on the receipt and that the receipt is issued in your name.
3. Email jpeg photographs of the animal, taken before and after the procedure. The photographs should show the site of the illness or surgical wound where applicable. Your email should also provide a detailed write-up on the animal’s condition, before and after the procedure. Please provide the contact details of the vet.  
4. Post the original receipt and the duly filled form* to the given address. The bank account on the form must be in your name.

All claims must reach us no later than 2 weeks from the date on the receipt.

There are only 4 steps involved.

In this week itself, we received three applications which did not follow procedures. One was late, two others simply sent the form and receipt to us without any preceding email at all so we actually do not know what the case is all about.

Late applications are rejected. We’re sorry but there is a reason why there is a deadline and if a deadline cannot be met (by the way, the applicant’s house is just across the road from our postbox but that is beside the point), we cannot help. Two weeks is really enough for a letter to travel from Malaysia to even the USA. If we can give 6 days’ grace on top of our deadline, we would have stated the deadline as 20 days and not 14 days.

“But I was busy” is not quite acceptable when one is on the requesting end.

The infamous Malaysian “rubber time” is a cultural practice which we do not practise.

Then, for those who simply post the application forms without a preceding email to let us know what it is all about (and these are not new applicants, they have already been told to please write an email first), we appeal for their kind understanding that even though they are regular applicants, procedures still need to be adhered to. We have our own process of vetting and checking each application and it involves a committee. Hence, the procedures.

Rules are meant to be followed. They ensure that a process can run smoothly and if all procedures are followed, the subsidy is banked in within 24 hours from the time it is received.
